​Grissom Choral Parents Association Board Meeting Minutes
August 5, 2025


I. Call to Order

• Time: 5:30 PM
• By: Amy Boyle

II. Attendance

• Present: Amy Boyle, Kenneth Newton, Amanda Francis, Jessica Spinoso, Amanda Magonigal, Joanna Hillis, Tucker Ratcliff

 

• Absent: Karon Howard

III. Reading and Approval of Minutes

• Previous Meeting Minutes: Not Applicable

IV. Officer and Committee Reports 

• Treasurer
  • Report of Current Financials 

GCPA account: $28,331.77

• Fundraising
  • Sheet sale begins August 14. The vendor price has increased from $22 to $23 per sheet set. Mr. Ratcliff suggested raising the sales price per set from $45 to $50 to offset the $1 increase.

 

• Additional fundraisers – popcorn, car wash tickets, concessions, and spirit nights, with discussion on the possibility of Buff City Soap.  

 

• Car wash tickets will be pre-sale only. Tickets will be received after the fundraiser ends.

 

• Possible spirit night locations – Taziki’s, Cheeseburger Bobby’s, and Mexican restaurants including Rosie’s or Luis’s.

 

• Mr. Ratcliff submitted a concession stand request for the Huntsville game (1st choice) and the first game of the season (2nd choice).

 

• Discussion
  • Parent Meeting – August 14 at 6 PM.
  • Mr. Ratcliff needs assistance with uniform sizing.
  • Amanda Magonigal volunteered to assist Karon Howard with uniforms.
  • Board meetings will change from the first Tuesday of the month to the second Monday of the month at 5:30 PM beginning in September.

VII. New Business

• Bylaw Changes
  • Section 2.2.2 – Annual board meeting changed from Spring to Fall.
  • Removed Treasurer-Elect verbiage from Fundraiser position.

Motion by Kenneth Newton, seconded by Jessica Spinoso.
Decision: Passed unanimously.

• HCS Guidelines Review 
  • Will submit in 2 weeks with a copy of the bylaws, minutes, audit, and bond.
• Fall Concert – Elton John

VIII. Director Comments

• Budget Update 
  • Discussed the updated pricing of music and t-shirts.
  • Mentioned how the increase in concert ticket prices helped last year.
• Purchases Needed
  • Two new risers, quoted at $3,610.
  • Two new filing cabinets ($2,000) and folders ($500-$600) for music storage. 
• My Music Office Update Needed
  • Will save students’ current credits, clear slate, and add new fees. 
• All City Auditions
  • Grissom is hosting auditions on September 22 & 23.
  • Board members to help register students and announce audition numbers after school on those dates.

 

• Board members to arrive around 3:30 PM, with students arriving by 4:00 PM.

IX. Action Items

• Director Supplemental Contract Vote
  • Discussed an increase in the supplemental amount from $4,200 to $5,000, plus 20% in taxes, for a total of $6,000.

Decision: Passed unanimously.
